Procurement information

Everything a buyer needs to evaluate EPIC.

Registration details, classification codes, contract vehicles, insurance and compliance documentation, in one place. If your solicitation asks for something that is not here, ask and it will be sent.

Classification codes.

The codes a buyer will use to find EPIC in a vendor search, or to confirm we are registered under the right category for your solicitation.

Primary NAICS
541930 — Translation and Interpretation Services
Additional NAICS
None. 541930 is the only NAICS code EPIC is registered under.
PSC / FSC codes
Not registered under PSC or FSC codes.
UNSPSC
Not used.
Business size classification
Small business under the SBA size standard for NAICS 541930.
Socio-economic classifications
Minority-owned business.
Section 3

Contract vehicles.

Where an awarded contract already exists, a member agency can purchase under it rather than running its own solicitation.

TIPS contract number
211002 — Interpreting, Translation and Multi-Lingual Goods and Services
Awarding body
The Interlocal Purchasing System (TIPS), a national cooperative purchasing program available to public agencies, school districts and municipalities
Who can purchase
TIPS member agencies. Membership is free for public entities and can be completed before or alongside a purchase.
Other vehicles
TIPS 211002 is the only cooperative contract vehicle EPIC holds. Where an agency already holds a statewide or master agreement, EPIC can be onboarded under it.
Why this matters: purchasing through an awarded cooperative contract satisfies the competitive-procurement requirement in most jurisdictions, which removes weeks from the timeline when language access is needed now rather than next quarter. Confirm applicability with your own purchasing office.
Section 4

Insurance.

A current certificate of insurance is issued directly to the requesting agency. Limits appear on that certificate rather than on this page, because a published certificate carries policy numbers.

Coverage
EPIC Translations carries several types of insurance policy in order to conduct business with government organizations across the nation.
Certificate of insurance
Issued on request, naming the contracting entity as certificate holder. Policy limits are stated on the certificate rather than published on this page.
Endorsements
Additional insured and waiver-of-subrogation endorsements can be arranged where a contract requires them.
Section 5

Documents provided on request.

These are issued directly to the requesting agency rather than published, because several of them carry account, policy and tax identifiers. Ask and they are sent, normally within one business day.

W-9

Signed and current, issued to the contracting entity.

With the endorsements your contract requires.

Client references

Public-sector references relevant to the scope of your solicitation.

Section 6

Standards and compliance.

Translation quality
Workflows aligned to ISO 17100: qualified translator assignment, revision by a second independent linguist, and systematic checks before delivery. EPIC does not hold ISO certification and does not display certification marks.
Language access law
Services designed to support Title VI, Executive Order 13166, LEP language access plans, and ADA effective-communication requirements. See the compliance framework.
Interpreter credentials
Court-certified, medical-certified and nationally certified ASL interpreters. Credentials and expiry dates are recorded and tracked in EPIC's interpreting platform.
Information security
TLS-encrypted transfer, SFTP and encrypted cloud options, role-based access limited to the assigned team, and multi-factor authentication enforced for staff.
Protected information
Handling procedures for HIPAA protected health information and FERPA student records where those programs are in scope.
Business continuity
Distributed linguist resources, defined reassignment and escalation procedures, and alternative service modalities. Read the continuity approach.

Procurement enquiries.

Solicitations, vendor registration packets, certificate requests and questions about scope — send them and a person will read them. Telephone 888-214-2053.
