Secure File Transfer
All files are transmitted using encrypted channels. Our client portal uses TLS encryption for all uploads and downloads. We never transmit sensitive documents via unencrypted email. For clients with heightened security requirements, we support SFTP, encrypted cloud storage, and direct API integrations with your document management systems.
Confidentiality Agreements
Every EPIC translator, interpreter, and staff member signs a comprehensive confidentiality and non-disclosure agreement before accessing any client materials. Our NDAs cover all aspects of the engagement, including document content, client identity, and project details.
Access Controls
Client materials are accessible only to the linguists and project managers assigned to your project. We maintain role-based access controls across all our systems, ensuring that sensitive information is compartmentalized and audit-trailed. Multi-factor authentication is enforced for all staff accessing client data.
Data Protection
HIPAA-Compliant Infrastructure
Our systems and processes are designed to meet HIPAA requirements for protected health information. This includes encrypted storage, access logging, business associate agreements, and workforce training on PHI handling procedures.
Data Retention and Destruction
We maintain clear data retention policies aligned with industry standards and client requirements. Upon project completion, client materials are retained only for the agreed-upon period. Secure deletion procedures ensure that data is permanently removed when no longer needed.
Secure Interpreting Sessions
Our OPI and VRI platforms use encrypted audio and video channels. Call recordings are stored in encrypted environments with access restricted to authorized personnel. Our interpreters are trained in information security best practices and understand their obligation to maintain confidentiality for all session content.
